At S4labour, we are committed to protecting your privacy and ensuring the secure processing of personal data. As a SaaS provider, we deliver workforce scheduling and HR management software to businesses. This privacy policy outlines how we process personal data in compliance with the General Data Protection Regulation (GDPR) and your rights regarding that data.

Who We Are

S4labour provides labour scheduling and HR management software to businesses. In this role, S4labour acts as a data processor, handling personal data on behalf of our customers (employers), who are the data controllers. Your employer determines how and why your personal data is processed. Please refer to your employer's privacy policy for more information on how they manage your data.

Data We Collect

We process the following types of personal data:

How We Use Your Data

Legal Basis for Processing

We process personal data based on the following legal grounds:

Data Sharing with Third-Party Service Providers

To provide our SaaS services, we may share your personal data with trusted third-party service providers, such as cloud hosting providers or IT support services. These sub-processors are bound by data protection agreements, ensuring that they process data in compliance with GDPR and other applicable laws.

In addition, if your employer instructs us to integrate with other platforms, such as till providers, training or LMS platforms, or time and attendance solutions, we will do so only at their express instruction. In these cases, your employer remains responsible for managing the sharing of data between these systems.

International Data Transfers

If personal data is transferred outside the UK or EEA for the purpose of delivering our services, we use appropriate safeguards such as Standard Contractual Clauses to ensure that your data is protected and compliant with UK GDPR.

Data Security

We take data security seriously and employ robust measures, including encryption, access controls, and regular audits, to safeguard your personal data. While no system can be completely secure, we follow best practices to minimize the risk of unauthorized access, alteration, or misuse of your data.

In the event of a data breach, S4labour will notify your employer and work with them to ensure that any affected individuals are informed as required by law.

Data Retention and Deletion

We retain personal data for as long as instructed by your employer. Once our contract with your employer ends, we will retain data for a period agreed upon with your employer, or as required by law. Deletion of personal data is managed by your employer, and S4labour will assist in fulfilling data deletion requests according to their instructions.

Accessing and Correcting Personal Data

You have the right to access and correct your personal data. Your employer may provide self-service options, allowing you to update certain personal details, such as your address, directly through the S4labour platform. If you cannot update certain information yourself, please contact your manager or HR department, who will be able to make the necessary changes.

For other data access or correction requests, your employer is responsible for processing these requests, and S4labour will assist them as needed.
